Ship Mate is operated by The Shopify Guys Pty Ltd (“we”, “us” or “our”). We respect privacy and aim to handle personal information responsibly and in accordance with applicable Australian privacy laws. This policy covers the Ship Mate public website and service.
Information we collect
The information we collect depends on how you interact with Ship Mate. It may include:
- Your name, contact details and business details.
- Shopify store details and information you submit through enquiry or Early Access forms, including approximate parcel volumes and your privacy acknowledgement.
- Account and authentication information needed to operate a merchant account.
- Shipping, order, recipient and fulfilment information necessary to provide Ship Mate.
- Billing, recharge and transaction information needed to manage prepaid shipping credit and records.
- Support communications and technical or security information reasonably necessary to operate and protect the service.
The public Early Access form collects the details you enter and records when you acknowledge this policy. Submitting an enquiry does not authorise newsletter or unrelated marketing subscriptions. The lead store does not record raw visitor IP addresses.
How we collect information
We collect information directly from you, through the Ship Mate website or platform, through a Shopify connection you authorise, and from payment, hosting, shipping and other service providers where necessary to provide Ship Mate. Please ensure you are authorised to provide personal information about other people, including recipients.
How we use information
We use personal information to respond to enquiries, onboard merchants, operate merchant accounts, connect Shopify and synchronise orders, create and manage shipments, manage prepaid shipping credit and transaction records, and provide support. We also use information for security and fraud prevention, service reliability, and legal or accounting obligations.
We do not sell personal information.
Service providers and disclosures
We may share information reasonably necessary to provide Ship Mate with providers of hosting and security, ecommerce integrations, payment processing, freight and shipping, communications, and professional services. These may include Cloudflare for website hosting and lead storage, Shopify for authorised store connections, and Stripe where used for payment processing. We may also disclose information where required or authorised by law, or where reasonably necessary to protect lawful rights.
Some service providers may process information outside Australia. Where this occurs, we take reasonable steps appropriate to the circumstances and applicable law to protect personal information. Provider locations can change; contact us if you need further information about a particular service.
Security and retention
We use reasonable technical and organisational measures to protect personal information against misuse, loss and unauthorised access, modification or disclosure. No system can guarantee absolute security.
We retain information only as long as reasonably required for operational, legal, accounting, security and dispute-resolution purposes. When it is no longer required, we take reasonable steps to delete or de-identify it, subject to applicable law and legitimate retention requirements.
Cookies and technical storage
The public website currently does not use advertising or behavioural analytics cookies. Essential technical storage or cookies may be used where required for site operation or security. Hosting and security providers may process standard technical request information to deliver and protect the service.
Access, correction and privacy enquiries
You may request access to, or correction of, personal information we hold about you, subject to applicable law. We may need to verify your identity before acting on a request.
To make a privacy enquiry, access or correction request, or complaint, email hello@myshipmate.com.au. Include enough information for us to understand your request, without sending unnecessary sensitive information.
We will review privacy complaints and respond within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner for information about available complaint options.
Changes to this policy
We may update this policy as Ship Mate evolves or requirements change. The current version and its last updated date will be published on this page. Where appropriate, we will reasonably communicate material changes.
